MS Office is a widely used and preferred email client for most organizations as it comes as a part of the standard MS Office application. Other email clients like Lotus Notes have more features, but come at an extra cost which sometimes burn deep holes in the balance sheets of the firms. MS Outlook is also easy to use and even a “not so computer savvy” person can use it.
People receive a large number of mails everyday and as a result, their mailboxes can get enormous. It is essential to keep a check on the size of your mailbox as when and if the mailbox is full, many mails bounce off and there is a strong possibility of missing out on essential emails.
So how do you get to know the size of your mailbox and keep a check on it? Let us have a look.
Warning Messages
A warning email is sent to all the users when their mailbox is about to touch the danger mark, so that they can realize and act fast before they miss out on valuable emails. The warning mail is usually sent when the mailbox is about to reach its full capacity (when 100 Mb of space is left).
How To Check The Mailbox Size Yourself?
All the mail is stored in a single file for each mailbox. In order to see the size of the file, you need to just right click on the mailbox in the left hand pane and just click on Data File properties from the context menu. A Dialog box will appear with a Folder Size button. Once you click on it, you will be able to view a breakdown of the sub folders of your mailbox as well as the total size of your mailbox.
Is There an Alternative Way?
Another way to do this is to click on the ‘Tools‘ Tab and go to ‘Mailbox Cleanup‘. After that, click on ‘View Mailbox‘ Tab. There is a tab there called ‘Server Data’ which when clicked gives you the size of the mail box items stored on the server. When the program is run, it verifies the size of your mail box.The size is always displayed in kilo bytes (Kb).
A third way to check this is by going to the Navigation pane and clicking on Folder List. On the top of the Navigation Pane, you can find the Folder List button. You need to keep scrolling down until you are able to view Folder Sizes. By clicking on the Server Data tab, you can view the size of your mail box.
The total size is always displayed in kilobytes (KB).
